Document Retention Policy
How Business Hero stores, manages, and retains documents and data submitted through the platform.

1. Purpose of This Policy
This Document Retention Policy explains how Business Hero, Inc. handles documents, files, communications, and data submitted through or generated by the Platform. Our retention practices are designed to:
- Support continuity of legal service delivery for active matters
- Comply with applicable federal and California state record-keeping obligations
- Protect Business Hero and participating attorneys from professional liability claims
- Enable you to access your historical matter records within the Platform
- Meet financial, tax, and audit record-keeping requirements
2. What We Retain
We retain the following categories of data:
- Account Information: Name, email, billing history, and subscription records
- Intake Submissions: Answers to intake forms, matter descriptions, and supporting information submitted during onboarding
- Uploaded Documents: Files, contracts, agreements, and other documents submitted through the Platform for review or storage
- Communications: Messages exchanged through the Platform's messaging system between clients, attorneys, and Business Hero staff
- Delivered Work Product: Reviewed documents, attorney notes, and other deliverables provided through the Platform
- Payment Records: Transaction history, invoices, and billing records
- Activity Logs: Order status history, audit trails, and system access logs
3. Retention Periods
Our standard retention periods are as follows:

Retention periods may be extended if a matter is subject to ongoing litigation, regulatory investigation, or a legal hold.
4. Storage and Security
All retained data is stored on secure cloud infrastructure with:
- Encryption at rest and in transit
- Role-based access controls limiting internal access to authorized personnel
- Regular backups and disaster recovery procedures
- Access logging for audit and security purposes
We do not store documents on local devices or unsecured media. Third-party vendors with access to your data are bound by confidentiality obligations and data processing agreements.
5. Access to Your Retained Documents
While your account is active, you may access your uploaded documents and delivered work product through the client portal at any time. Following account closure, you may request a copy of your documents within 30 days of closure, after which documents will be archived and may not be immediately accessible.
To request access to archived documents, contact info@mybusiness-hero.com. Processing may take up to 15 business days and may be subject to an administrative fee for records older than 2 years.
6. Deletion of Documents
Upon expiration of the applicable retention period, documents are securely deleted or anonymized using industry-standard data destruction methods. Deletion is performed on a rolling basis.
You may request early deletion of certain documents through our Data Deletion Policy process. However, documents subject to a legal hold, active engagement, regulatory obligation, or mandatory retention period cannot be deleted early.
7. Legal Holds
If Business Hero or a participating attorney becomes aware of actual or anticipated litigation, regulatory investigation, or other legal proceedings involving data on the Platform, we may place a legal hold on relevant records regardless of standard retention schedules. Legal holds supersede deletion requests and standard expiration timelines until the hold is lifted.
8. Updates to This Policy
We may update this policy to reflect changes in law, regulatory requirements, or our operational practices. Material changes will be communicated via email. Continued use of the Platform constitutes acceptance of the updated policy.
